What every invoice needs

Most late payments are not a customer refusing to pay. They are an invoice that was unclear, arrived late, or landed on the wrong desk. Five things fix nearly all of it.

The word "invoice" and a number

It sounds obvious and it is the thing most often missing. A document without the word on it reads as a quote, and a customer who thinks they have a quote does not pay it. The number matters for you rather than for them: sequential numbers are what let you find the gap when one goes unpaid.

Both addresses, in full

Your legal business name, address and contact details, and theirs. If you are invoicing a company rather than a homeowner, get the entity name right; accounts payable will bounce an invoice made out to the wrong name and you will lose a fortnight.

What you actually did

One line per thing, with the quantity and the rate visible. "Labor, $840" invites a phone call. Four lines that add up to $840 do not. This is the single biggest difference between invoices that get paid quickly and invoices that get queried.

A due date, not just terms

Write the date. "Net 30" requires the customer to do arithmetic before they can pay you, and people do not do arithmetic for other people. A date on the page is a deadline; a term is a suggestion.

How to pay

Spell it out, and give them the fastest option first. Every extra step between the invoice and the payment is a day added to the average.
